By making a reservation, submitting a payment, or participating in any service offered by Andean Moments Peru EIRL, the passenger acknowledges having read, understood, and accepted these Terms and Conditions in their entirety. Andean Moments Peru EIRL may operate services directly or coordinate them through associated tourism operators, depending on the nature of each reservation.
1. Booking and Payments
Initial Deposit
To secure your booking, Andean Moments requires an initial deposit. This deposit allows us to arrange in advance the essential services for your trip — Machu Picchu tickets, park permits, train tickets, hotels, and other necessary reservations — and is non-refundable and non-transferable under any circumstance, from the moment the reservation is confirmed.
The deposit amount is determined by Andean Moments for each specific tour and never exceeds 50% of the total price per person. The exact amount is shown on each tour’s page and in your booking confirmation.
Outstanding Balance
The outstanding balance must be paid at least 24 hours before the tour departs, at our office in Cusco (cash or card) or through our enabled online payment channels.
Payment Methods
We accept credit/debit card, PayPal, bank transfer, and other methods enabled on our payment platform. Card or PayPal payments may be subject to a processing fee, which will be shown before confirming payment. Bank transfer payments carry no additional fee.
2. Cancellation and Date Change Policy
Tours Including Machu Picchu (individual or within packages)
The initial deposit (see Section 1) is always non-refundable from the moment the reservation is confirmed, regardless of when the passenger cancels, as it secures the purchase of Machu Picchu tickets and other non-refundable reservations required to guarantee the trip.
- If the passenger paid only the deposit: there is no further refund, under any circumstance.
- If the passenger paid 100% of the total price in advance: the balance (the amount exceeding the deposit) is refunded only if cancelled more than 48 hours before the tour start. Within the 48 hours prior, no amount is refunded, even if the full price was paid.
Multi-Day Treks without Machu Picchu (Choquequirao, Manu)
The exact same mechanism as the previous section applies: deposit set by Andean Moments (maximum 50% of the total price), always non-refundable from confirmation; the balance is refundable only if the passenger paid 100% and cancels more than 48 hours in advance.
Add-ons: Tickets and Permits (Machu Picchu Mountain / Huayna Picchu, train upgrade, domestic flights)
These add-ons are non-refundable from the moment Andean Moments confirms the corresponding tickets, in accordance with the policies of the external provider (SERNANP, railway operator, or airline).
Add-ons: Equipment and Activities (sleeping bags, trekking poles, zipline, etc.)
100% refundable if cancelled more than 48 hours before the tour. Within the 48 hours prior, they are non-refundable.
Daily and Half-Day Tours
For tours booked individually (not as part of a Machu Picchu package): 100% refundable if cancelled more than 48 hours before the tour start. Within the 48 hours prior: non-refundable under any circumstance, since by that point transportation, guides, meals, and other logistics are already organized and committed.
If the daily tour is part of a package that includes Machu Picchu, it is not governed by this section — it follows the policy of the full package.
Date Change
Tours with Machu Picchu, Manu, and Choquequirao: the trip date may only be rescheduled by paying again the amount equivalent to that tour’s initial deposit, to cover the reissuance of tickets/permits. Subject to availability on the requested date; without availability, the change cannot be processed.
Daily and half-day tours: may be requested with more than 24 hours’ notice, subject to availability, with a penalty of 50% of the tour price. Within the 24 hours prior, 100% of the price is charged (treated as a new booking).
If no availability exists for a new date in either case above, the request will be treated as a cancellation and the corresponding Cancellation Policy will apply.
General Refund Provisions
- All cancellation or date change requests must be submitted in writing through our official channels (Section 5).
- Approved refunds are processed within 30 business days, via the original payment method, minus bank or payment gateway fees.
- Andean Moments Peru EIRL reserves the right to modify, reschedule, or cancel a tour due to an insufficient minimum number of participants, offering an alternative date, an upgrade to a private service, or a refund limited to the portion not committed to non-refundable third-party services.
- Andean Moments Peru EIRL will not be liable for cancellations, delays, or modifications caused by force majeure circumstances (natural disasters, extreme weather, strikes, road blockages, government restrictions, public health emergencies, closure of archaeological sites, among others). Depending on the situation, we may offer a full refund, partial refund, or none, always prioritizing alternatives before cancelling.
3. Traveler Documentation and Group Policies
Passport and Visa
All travelers must have a valid passport with at least 6 months of validity beyond the travel date, in addition to the visa required according to their nationality. Andean Moments is not responsible for problems caused by failure to meet this requirement.
Personal Information
The passenger is responsible for providing accurate information when booking. First names, last names, nationality, date of birth, and passport/ID number must exactly match the document presented during the trip. Andean Moments is not responsible for additional costs, denied entry, or loss of services resulting from incorrect information provided by the passenger.
Children and Minors
Every participant under 18 must be accompanied by a responsible adult. Minors (up to 17 years old) at the time of visiting Machu Picchu are entitled to a USD 20 discount on the tour price.
Babies under 3 years old do not pay, as long as they do not occupy an additional seat; parents or guardians are responsible for the baby throughout the entire route. We do not offer baby-carrier rental service.
Student Discount
To qualify for the student discount, the ID card must:
- Be a physical plastic card, similar to a bank card.
- Show the name of the university or educational institution.
- Show the student’s full name.
- Show a recognizable photograph.
- Show a valid expiration date at the time of travel (not later than 2028).
- The student must be under 25 years old at the time of visiting Machu Picchu.
ISIC cards, digital student IDs, enrollment certificates, payment receipts, and temporary documents are not accepted. If the documentation does not meet these criteria, the passenger must pay the difference between the student rate and the adult rate before the tour begins.
Camping Tours
Prices are calculated per person, based on a shared tent (two people per tent). A supplement of USD 35 applies for an individual tent. Travelers booking alone will be paired with another traveler of the same gender, unless otherwise requested.
Hotel-Based Tours
Standard rooms are double rooms with private bathroom. If you would like a private room, you must request it through our official channels before your trip; we will check availability and, if available, send you the cost of the upgrade for you to confirm. Please let us know in advance if you need a room upgrade or have any special request.
Group Size
For the Inca Trail, the group service requires a minimum of 4 passengers to be operational, with a maximum of 8 passengers per guide. The Inca Trail permit allows up to 16 people per group; from the ninth passenger onward, a second guide is assigned, although both subgroups share the same cooking and porter team for camp and meal logistics.
If you book for 1, 2, or 3 passengers and the group does not reach the minimum of 4 for that date, Andean Moments may offer you alternatives: hiring the service as a private tour, changing the date, or merging the operation with another agency to make it viable. We will inform you at least 48 hours in advance.
For large groups, contact us for a private service quote.
Tips
Tips in Peru are optional and are not included in the tour price.
Hotel Pickup and Drop-off
Pickup is included only from Cusco’s historic center. If your accommodation is outside this area, you must come to the meeting point established in the historic center.
Pickup outside the historic center (including areas of the Sacred Valley, depending on the tour) is only available for private service bookings.
4. Health, Safety, and Conduct During the Trip
Physical and Health Condition
The passenger declares being in adequate physical and medical condition for the booked activities. Any relevant medical condition, allergy, injury, or special requirement must be communicated before the tour begins. Since Cusco is located at 3,400 masl and several routes exceed 4,000 masl, we recommend consulting a doctor about the risk of altitude sickness (soroche) before traveling. Andean Moments reserves the right to restrict participation for safety reasons.
Travel Insurance
Unless expressly stated otherwise, travel insurance is not included in the services. We strongly recommend obtaining insurance covering medical expenses, cancellations, accidents, emergency evacuation, delays, and loss of belongings.
During the Tour
Return train schedules from Machu Picchu are subject to availability; Andean Moments will book the most convenient schedule for the group. It is mandatory to follow the guide’s instructions and the rules of the sites visited. In the event of illness or injury during the tour, we will help arrange transportation to the nearest medical center; medical and evacuation expenses are the passenger’s responsibility, though we will provide a certificate to assist with insurance claims.
Assumption of Risk
Adventure tourism activities, trekking, and outdoor excursions involve inherent risks (illness, injury, environmental challenges) that the passenger voluntarily assumes upon booking and participating.
Delays and No-Show
The passenger must arrive at the meeting point at the specified time for each service. Arriving late or failing to show up is considered a “No-Show” and does not entitle the passenger to a refund, credit, or rescheduling.
Operational Changes
Andean Moments Peru EIRL reserves the right to modify itineraries, schedules, routes, accommodation, or transportation whenever necessary for safety, availability, or force majeure reasons.
5. Liability and Legal Information
Limitation of Liability
Andean Moments Peru EIRL’s liability is limited to the total amount paid for the reservation. The company is not liable for loss, theft, or damage to personal belongings, nor for delays, cancellations, or modifications caused by third parties (carriers, hotels, train operators, government entities, or other providers), except as expressly stated in these Terms.
Photography and Marketing
Photographs and videos may be taken during tours for promotional and marketing purposes. By participating in our services, the passenger authorizes the reasonable use of such material on the website, social media, and promotional materials, unless written notice is given before the tour begins.

Personal Data Protection
The personal data provided (including passport number and payment details) is used exclusively to manage the reservation and comply with regulatory requirements of tourism and transportation operators. Andean Moments Peru EIRL does not share this information with third parties except as necessary to provide the contracted service.
Governing Law
These Terms are governed and interpreted in accordance with the laws of the Republic of Peru. Any dispute arising from the services provided is subject to the exclusive jurisdiction of the competent courts of Cusco, Peru.
